Practical information for drop-off, collection, food, clothing, medical needs, safeguarding and making sure your child has a safe, happy and active day with us.
✓ Before you arrive
Camp GO! Letchworth takes place at Letchworth Sports & Tennis Club. Our team will be ready to welcome your child, register them and help them settle into their group.
Please bring
- Comfortable sports clothing suitable for indoor and outdoor activity.
- Suitable sports trainers.
- A clearly named refillable water bottle.
- Snacks for the day.
- A packed lunch if your child is attending over lunchtime.
- Suitable outdoor clothing for the weather.
- Sun cream and a sun hat during hot or sunny weather.
- Any medication that has been agreed with Camp GO.
👧 Younger children & attendance times
Camp GO! Letchworth operates as activity-based sports provision and is registered with Ofsted on the voluntary part of the Childcare Register.
There is an important distinction between Ofsted's regulatory rule and Camp GO's current operating policy.

A child may already be 5 years old but still be in Reception. Ofsted's activity-based rule would allow that child to attend for longer than four hours, but Camp GO currently does not.
Until we notify parents of any future change, the four-hour Camp GO limit applies to all children who have not yet started Year 1.
This is a Camp GO operational policy, rather than an additional Ofsted requirement.
🚗 Drop-off & collection
Please bring your child to the designated Camp GO registration point at Letchworth Sports & Tennis Club and ensure they are formally signed in with a member of the Camp GO team.
Children must not simply be dropped in the car park or elsewhere on the club site and expected to make their own way to camp.
Collection
Children will only be released in accordance with the collection information provided to us.
If somebody different will be collecting your child, please notify the Camp GO team.
💛 SEND & additional needs
Camp GO aims to be welcoming and inclusive. Please tell us before attendance about any SEND, disability, communication need, sensory need, behavioural need, medical condition or other circumstance that may affect your child's experience.
Providing information in advance allows us to understand your child's needs, consider reasonable adjustments and make appropriate plans with you.
✚ Medical needs, medication & first aid
Please ensure all relevant medical conditions, allergies and medication information are recorded accurately within your DRH Sports account.
Medication must be clearly labelled and handed directly to a member of staff. Children should not have medication loose within their bags unless this has specifically been agreed with Camp GO.
Appropriate first-aid arrangements are maintained during camp. Parents will be informed of significant accidents, illness or medical incidents as appropriate.
🥪 Food, drinks & allergies
Children attending over lunchtime should bring a suitable packed lunch, together with snacks and a clearly named water bottle.
Please make sure allergy and dietary information within your account is complete and current before your child's attendance.
Children are encouraged to drink regularly throughout the day, particularly during warm weather and physical activity.
☀ Weather & sun protection
Camp GO includes both indoor and outdoor activities. The programme may be adapted depending on weather, temperature and playing conditions.
During hot weather, children should arrive with suitable clothing, a sun hat, water bottle and sun protection already applied where appropriate.
Staff will provide regular drink opportunities and adapt activity intensity, duration and location when conditions require it.
☺ Behaviour & wellbeing
Camp GO should be a positive, active and enjoyable environment for every child.
We promote Dedication, Fair Play, Leadership, Respect and Teamwork throughout our activities.
Staff use positive and age-appropriate behaviour management. We explain expectations clearly, praise positive choices and intervene early where behaviour begins to affect safety or other children's enjoyment.
Serious or persistent behaviour may result in a parent being contacted and, where necessary, a child being collected.
⚽ What children do at Camp GO Letchworth
Camp GO Letchworth is an activity-based sports provision. Our programme is centred around structured sport, coaching and helping children develop their skills.
Children may experience a range of sports and games, with coaches providing instruction, demonstrations, practice opportunities and age-appropriate challenges.
Breaks, lunch, registration and transitions naturally form part of the camp day, but sports coaching remains the main focus of the provision.
🛡 Safeguarding & child welfare
The safety and welfare of children is our highest priority. Camp GO staff are expected to follow our safeguarding procedures and report concerns immediately to the appropriate safeguarding lead.
If your child tells you something that causes concern about their welfare, another child or an adult working at Camp GO, please speak to the Camp Manager or Designated Safeguarding Lead as soon as possible.

🚨 Emergencies
Camp GO has procedures covering accidents, serious illness, fire and evacuation, missing children, safeguarding incidents and other emergencies.
In an emergency our first responsibility is to protect the children in our care. Emergency services will be contacted whenever required and parents/carers will be informed as soon as it is safe and practical to do so.
📷 Photography, phones & devices
Camp GO follows safeguarding procedures relating to photography and personal devices.
Staff do not use personal phones to photograph children.
Any authorised Camp GO photography is managed in accordance with the permissions and information provided by parents/carers and our photography and privacy procedures.

Camp GO! Letchworth is operated by DRH Sports Limited and is registered with Ofsted on the voluntary part of the Childcare Register.
The Letchworth camp operates as activity-based sports provision. Sport and sports coaching are the main focus of what we provide.
Children under the age of 5 cannot attend this activity-based provision for more than four hours in one day. Children aged 5 and over may attend for longer under the Ofsted exemption.
Camp GO currently operates a stricter rule. All children who have not yet started Year 1 are limited to four hours per day at the Letchworth camp. This includes children who are already 5 but are still in Reception.
This additional restriction is a Camp GO operating decision and may be reviewed in future.
Until parents are notified otherwise, the Year 1 rule remains our booking policy.

What if my child is nervous?
Please tell the registration team. Our coaches are experienced in helping children settle in and will introduce them to their group and activities.
Can my child be grouped with a friend?
Tell us at registration and we will try to accommodate requests where ages, numbers, activities and safe group organisation allow.
Can I collect my child early?
Yes. Please let the Camp GO team know in advance where possible so that we can have your child ready and complete the collection procedure properly.
What happens if it rains?
Letchworth Sports & Tennis Club has indoor facilities and the Camp GO programme can be adapted according to weather and playing conditions.
Can my child bring a phone?
We recommend leaving unnecessary electronic devices at home. Where a child brings a phone, it should remain stored away during activities unless a member of staff has agreed otherwise.
My child is already 5 but still in Reception. Can they attend all day?
Not under Camp GO's current Letchworth policy.
Ofsted's activity-based exemption allows children aged 5 and over to attend for longer than four hours. However, Camp GO currently applies a stricter rule: all children who have not yet started Year 1 are limited to four hours per day.
When can my child attend the normal full-day programme?
Under Camp GO's current policy, children can attend the normal full-day programme once they have started school Year 1, subject to the booking option selected.
Why is Camp GO stricter than Ofsted's four-hour rule?
The Ofsted rule sets the regulatory position for activity-based provision. Camp GO is currently choosing to operate a more cautious internal policy for younger children.
We may review this policy in future, but until parents are formally notified of a change, the Year 1 rule remains in place.
What if my child has additional needs?
Please contact us before attendance. We will discuss your child's needs with you and consider what reasonable adjustments and support can be provided safely.
💬 Questions, concerns or complaints
If you have a question before camp, speak to our team.
If you have a concern during camp, please raise it with the Camp Manager so that we have an opportunity to deal with it promptly.
Formal complaints are handled in accordance with our Complaints Policy. Safeguarding concerns are always dealt with through our safeguarding procedure rather than being delayed by the normal complaints process.
